Association Management System Controller

*SOMEONE WITH ASSOCIATION MANAGEMENT SYSTEM EXPERIENCE IS HIGHLY PREFERRED

Overview

We are building an association management software platform and are looking for part-time accounting/finance expertise to help review and advise on the setup of our finance/accounting module before launch.

This is not a full-time accounting operations role. We are looking for someone with strong accounting and association/nonprofit finance experience who can help validate that our planned workflows make sense from an accounting, billing, reconciliation, and reporting standpoint.

The ideal person has experience with association management systems, nonprofit/association accounting, invoicing, deferred revenue, payment processing, GL mapping, and financial reporting workflows.

Scope of Work

• Review the planned finance/accounting module setup for the AMS
• Advise on invoicing, payments, refunds, credits, write-offs, and bad debt handling
• Review billing options such as Pay Now, Bill Me Later, and Bill Organization
• Advise on GL codes, revenue categories, deferred revenue, and accounting mappings
• Review batch/deposit workflows for credit cards, checks, ACH, and manual payments
• Advise on merchant account and bank account setup considerations
• Review how transactions should be exported or mapped to accounting systems such as QuickBooks, NetSuite, or similar platforms
• Help identify gaps, risks, or missing accounting controls before launch
• Review finance-related requirements and provide feedback from an accounting/controller perspective
• Assist with testing finance workflows during the pre-launch phase
• Help create practical accounting workflow notes or recommendations for the product team

Ideal Background

• Controller, fractional controller, accounting manager, or senior accountant experience
• Experience with associations, nonprofits, membership organizations, or AMS platforms is required
• Strong understanding of GAAP and nonprofit/association
